DEFINITIONS

These Terms and Conditions apply to every person registering for the 8th International Conference on Operando Spectroscopy (OPERANDO-VIII), to be held in Asilomar, California, USA, from May 10th, 2026 and organized by SLAC National Accelerator Laboratory (“SLAC”). 

All references to a date or a deadline mentioned in these terms and on other conference documents, refer to the US Pacific Time Zone.

 

CONFERENCE REGISTRATION

A preliminary confirmation will be sent after receipt of your registration. Participation at the conference is only final upon receipt of your credit card payment. If the full payment has not been received before the deadline indicated, the registration will remain valid, however the due fee will be increased according to the payment period (early/regular).

The registration fee includes the congress fees (entry to all conference sessions, meals and coffee breaks in the frame of the organized program (Sunday to Thursday), opening reception (Sunday), the congress dinner (Wednesday), visitor's taxes and congress material.

Accommodation is booked  and paid for separately through Asilomar Conference Center.

 

METHODS OF PAYMENT

Payments should be made in advance using a credit card.

 

CANCELLATION POLICY

A cancellation of a paid and therefore valid registration is not intended. Substitutes can be arranged without additional costs if you supply us with the details as soon as possible.

Delegates wishing to cancel their registration, will be eligible for a full refund only up to March 10, 2026. Delegates cancelling registration between March 11, 2026 and April 10, 2026 will be eligible for a 25% refund. No refund is possible after that date. 

Notice of cancellation (e.g. in case of sickness, lack of funding or any other personal reasons) must be made in writing by email to operando8@slac.stanford.edu. The notification must include all relevant information regarding the bank account to which a possible refund may be remitted.

 

INSURANCE

The registration fees do not include insurance of any kind. Participants are advised to take out personal insurance, including cover for travel, accommodation and personal possessions. The conference hosts do not cover individuals against the cancellations of bookings for any reason including cancellation or postponement of the meeting or for theft or damage to belongings.

 

LIABILITY

SLAC shall not be responsible and cannot be held liable for any loss or damage of person and/or property that may occur during or as a result of attending the Operando-VIII conference. Conference attendees are responsible for any losses or damage they cause to person and/or property, including, but not limited to, the event and accommodation premises during their attendance at the Operando-VIII conference. Attendees agree to indemnify and defend SLAC, and hold SLAC harmless, for any cost arising due to such losses and/or damage.

 

LETTER OF INVITATION

Individuals requiring an official Letter of Invitation from the conference organizers can request one through the online registration form. To receive a Letter of Invitation, delegates must first register to the conference and submit any necessary data, as stated on the online form.

The Letter of Invitation does not financially obligate the conference organizers in any way. All expenses incurred in relation to the conference, the registration and the attendance are the sole responsibility of the delegate.

 

VISA REQUIREMENTS

It is the sole responsibility of the delegate to take care of his/her visa requirements. Delegates who require an entry visa must allow sufficient time for the application procedure. 

 

CANCELLATION OF THE CONFERENCE

In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, the conference organizers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.

Under these circumstances, the conference organizers reserve the right to reimburse the delegate after deducting costs already incurred for the organization of the conference and which could not be recovered from third parties.

To the extent applicable:

  • I confirm that all co-authors consent to the submission of this abstract to the Meeting.
  • I understand that my abstract will be posted on the meeting website that is accessible to the public.
  • I confirm that no part of my conference presentation contains export-controlled materials or information.
  • I hereby give my consent to SLAC’s recording of my conference presentation.
  • I hereby give my consent to SLAC’s posting of my conference presentation on the meeting website after the conference.
