Speaker Preparation Guidelines
General Requirements
- Aspect Ratio: Presentations should use the 16:9 aspect ratio.
- Upload Deadline: Presentations must be uploaded to Indico at least half a day before the scheduled presentation time for verification and transfer to the conference A/V file server.
- Personal Computers: Speakers are not allowed to use their personal computers. All presentations will be managed through the conference system.
- Presentation Length:
- Invited Oral: 25 minutes + 5 minutes for Q&A
- Contributed Oral: 15 minutes + 5 minutes for Q&A
Once presentations are uploaded to the server, they can be checked on the conference computers in the Speaker Preparation Room.
Proceedings
Slides that are successfully presented will be published in the online version of the conference proceedings without further action required from the speaker.

- Required Check: All speakers should verify their slides on the computers in the Speaker Preparation Room, as these are the same systems used in the presentation auditoriums.

Presentation Equipment and Software
- Laptop PCs with Windows 10 --- will be used to display presentations. Speakers are not allowed to use their personal computers.
- Pre-installed Software: MS PowerPoint, LibreOffice, Firefox, Chrome, and Adobe Acrobat.
- Available Equipment: Each podium will be equipped with a screen, a remote control/pointer for advancing slides, and a countdown timer with warnings.
Preparation of Presentation Slides
In addition to the presentation file, you must also submit a PDF version for inclusion in the conference proceedings.
For PDF, PowerPoint, or LibreOffice Impress files, make sure that all fonts are embedded. Avoid using external resources like linked images.
Upload of Presentations
Presentations should be uploaded to Indico exactly as you would upload your paper contributions.
- Upload Deadline: As early as possible, but no later than half a day before the presentation.
- File Naming: Files should be named with the program code followed by “_talk” (e.g., MOP999_talk.pptx or MOP999_talk.pdf).
Upload files through the NAPAC'25 Indico “My Contributions” section. Select “Slides” when submitting your files.
During the Presentation
- Session Chair Assistant: Will assist with minor presentation issues.
- Technical Issues: A technician will be available in the auditorium for A/V problems.
- Presentation Assistance: The Presentation Manager will be available for any issues related to the presentation itself.
